Duka Property Management Inc. has a need for an experienced, organized and highly motivated Executive Assistant to join our growing team.

Executive Assistant will be providing support to the President of the company and required to manage variety of tasks under pressing deadlines. To be successful in this role, Executive Assistant should have advanced knowledge of the full Microsoft Office suite, strong attention to details and fast problem solving skills. Candidates with previous experience as an executive assistant will be considered first.

Ideal candidate should have:

  • Outstanding punctuality, ability to keep up with deadlines and work under pressure and changing priorities
  • Excellent communication skills: written and verbal
  • Strong computer skills including all MS Office applications (Word, Excel, PPT)
  • Advanced understanding and experience with social media
  • Strong research skills, attention to news headlines and trending stories
  • Ability to work independently and collaboratively in a team environment
  • Outstanding organization skills and attention to detail
  • Problem solving skills and resourcefulness
  • Decisiveness and excellent use of independent judgment
  • Ability to ask questions and probe effectively to clarify project tasks and understand business needs
  • Ability to flex communication style to work with varying levels of seniority, both within and outside of the organization

Main responsibilities of the Executive Assistant will be (including but not limited to):

  • Coordinate executive communications, including taking/making phone calls, responding to emails, and interacting with clients
  • Opening, sorting, and distributing incoming faxes, emails, and other correspondence
  • Organizing day, scheduling meetings and appointments, managing travel itineraries
  • Researching and conducting data to prepare documents for review and presentation
  • Helping prepare for meetings & accurately recording minutes from meetings
  • Prepare internal and external corporate documents for team members and industry partners
  • Assist with preparation of financial documents: budgets, variance reports, etc.
  • Develop and sustain a level of professionalism among staff and clientele
  • Uphold a strict level of confidentiality
  • Provide general administrative support

Education and Qualifications

  • Graduate degree in Business Administration or related fields
  • 5+ years of relevant experience; Previous experience in Real Estate is an asset
  • MS Office courses

Job Types: Full-time, Permanent

Salary: $55,000.00-$90,000.00 per year
