Job Position: Administrative Assistant/Legal Assistant/Executive Assistant
Job Type: Full-time, Permanent

Responsibilities:

  • Manage a high volume of calendar management
  • Handle a large volume incoming calls
  • Schedule new client meetings, build relationships, and ensure client requests are taken care of.
  • Liaise with departments and clients for all paperwork.
  • Coordinate minute book requests, document delivery and signature requests
  • Track quotes for incoming work and monitor emails
  • Manage, update and organize an excel spreadsheet to record the status of active files
  • Organize files in an up to date manner so they are easily available
  • Manage lawyers CPD requirements, annual LSO reporting and Biennial reporting for the Quebec Bar
  • Manage audit inquiry requests
  • Some requests for personal tasks may be required
  • Handle daily administrative details

Requirements:

  • Minimum eight (8) years’ previous experience as an executive assistant preferably in a legal or professional services environment
  • Successful completion of a related post-secondary Office Administration or Legal Assistant program
  • Handle time pressure situations and stress of multiple demands
