The Career Foundation is currently seeking a Hiring Receptionist / Administrator on behalf of one of our employer partners.

  • Location: Toronto, ON
  • Job Type: Full-Time (5 days/40h/wk), Part-Time
  • Work Schedule: 5 days per week including Saturday and one or two evenings
  • Salary/Wage: From $35K to $40K annually or $17.00 to $20.00 per hour

Responsibilities:

  • Opening and closing the clinic and the school
  • Checking in and checking out patients
  • Greeting patients and visitors in person, replying to inquiries over the phone or in emails
  • Booking appointments over the phone, email and in clinic, and optimize treatment room utilization and patient’s satisfaction
  • Keeping patient appointment and treatment on schedule by notifying supervisors and students of patients’ arrival; checking treatment process compared to scheduled time, reminding supervisors and students of service delays
  • Maintaining patient accounts by obtaining, recording, and updating personal and financial information
  • Preparing invoices and receipts as required
  • Updating, filing, and maintaining patients’ medical records
  • Managing the database and organizing patient referrals
  • Communicating with students, practitioners, supervisors, patients, insurance companies, and other related parties with utmost confidentiality
  • Providing administrative support to students and practitioners to ensure a smooth functioning and ethics of the clinic
  • Disinfecting frequently touched surfaces as per COVID-19 and other infection control protocols
  • Checking and maintain good order and safety of clinic equipment such as air cleaners, treatment tables, heaters, and heating lamps
  • Keeping clinic neat and tidy
  • Working to ensure an overall 5-Star customer experience for patients and practitioners
  • Performs additional duties as assigned
  • Ability to work evenings and weekends
  • Strong desire to grow and develop with the organization by assisting with student and patient recruitment
  • Responding to inquiries, providing information and guidance to prospective students
  • Assisting students with their admission applications and registration process
  • Informing and explaining to students about school policies and procedures, and addressing minor questions and concerns
  • Consulting students about their academic progresses and upcoming course schedule and registrations
  • Entering, updating, and maintaining student database and academic records accurately and promptly
  • Forwarding and following up with academic concerns, comments, and suggestions to Academic Standard Committee for timely solutions
  • Preparing course schedule, registration recommendations and fee payments
  • Receiving, maintaining, and forwarding payments accurately and promptly
  • Communicating with students, faculty, staff, and management about related issues in a timely manner
  • Able to work extended hours and take other duties as assigned when needed

  • Strong organization skill and able to handle multiple tasks
  • Excellent communication and interpersonal skills
  • Excellent written and oral English, Chinese language an asset
  • Proficiency computer skills with Microsoft Office
  • Quick learner with strong desire for knowledge and skills improvements
  • School/office working experience an asset
  • Post secondary and university education preferred
  • Administrative and reception experience preferred
