Legal Administrator- Job Profile & Description

A successful Legal Administrator will energize and allocate their time in the role between a few activities. The time spent between the activities will vary from time to time to meet client demands, these include:

Client Service Management

Making initial and subsequent contact with new and existing clients, courts, other counsel, government agencies and departments, in-person, via telephone, email, fax, zoom and other means of communication:

Time and Office Management

Managing the lawyers and office calendar to ensure accurate and effective tickler systems are in place for internal and external deadlines for:

  • Client files
  • Court Appearances
  • Litigation and other filing deadlines
  • Law Society deadlines
  • Training schedules
  • Software and licensing deadlines
  • Organizing tickler to celebrate client’s birthdays and significant milestones
  • Other follow-up as required

Ensuring that the office is adequately supplied with stationary and supplies in a timely and cost-effective manner.

Processing and Triaging Documents

  • Maintaining accurate records of incoming and outgoing mail and other correspondence
  • Maintaining and updating the practice management software with important, pertinent information, including address and telephone updates
  • Photocopying, scanning, emailing and faxing documents as required
  • Assembling, collating and binding legal documents as necessary
  • Preparing meeting agendas, boardroom and documents for meetings
  • Preparing, procedural Motion and supporting Affidavits, Confirmations to the court and other counsel, communications in writing, client document drafting

Bank and Accounting

  • Prepare and maintain client dockets daily and simultaneously while working the files, based on interactions with client accounting software, bill and prepare invoices for lawyers review weekly
  • Process payments and prepare receipts for point of sale terminal
  • Complete deposit book for both trust and general accounts, update accounting system with deposits made
  • Prepare payment cheques in the accounts payable system
  • Provide clients with receipts for payment via cash, point of sale, email transfer, point of sale debits, credit cards or cheques
  • Receive and process accounts payables invoices and bills
  • Generate biweekly accounts payables due report and accounts payables
  • Review accounts receivables weekly and process reminder notices, collection letters and other collection action as appropriate

Summary of Qualifications and Skills

  • At least 18-months ongoing experience in a legal and/or office environment
  • Completed or in progressive training for law clerk or paralegal designation
  • Superior communication and interpersonal skills, written and verbal, ability to communicate effective within the organization and with external partners and other professionals
  • Ability to exercise polite and respectful telephone manners and client management skills
  • Demonstrated strong organization and time management skills
  • Possess the ability to prioritize work to meet dynamic and shifting goals and deadlines, in a seamless fashion
  • Possess the ability to work independently, with good judgment and strong attention to details
  • Serious understanding and compliance with confidentiality code and ethics
  • Good understanding of legal terms and jargons, especially in Family Law
  • Ability to independently draft basic documents
  • Ability to prepare, compile serve and file documents with courts and tribunals
  • Adept critical thinking and issue resolution within company and legal guidelines
  • Proven keyboarding skills with a speed of at 60 words per minutes, with accuracy
  • Superior computer skills, ability to navigate CosmoLex, Divorce Mate, Outlook, Microsoft Suite,

Will Builder, Conveyancer, Lexis Nexis Quick Law, Excel and Unity

  • Ability to prepare and organize meeting, meeting space booking and readiness
  • Arrange if necessary, travel for lawyer’s flight, hotel and car rental
  • Willingness to learn and grow with the team
  • Ability to work flexible hours is required
  • Any other duties assigned

Job Type: Full-time

Salary: $33,000.00-$40,000.00 per year

Flexible Language Requirement:

  • French not required


  • 8 hour shift

Supplemental pay types:

  • Bonus pay
