Clinic Coordinator/Office Manager

ROLE SUMMARY

We are interested in meeting a Clinic Coordinator/Office Manager who shares the vision and drive as our office. The successful candidate will play a critical role contributing to an efficient and profitable practice by being accountable for the smooth daily operations of both the front and back office. This role is also responsible for supporting reception duties.

KEY RESPONSIBILITIES

· Recruit, train, schedule, and supervise the clinical as well as administrative staff

· Oversee collections and Accounts Receivable, maintaining monthly budgets and operating expenses for payroll, equipment, and office expenses

· Support marketing and promotion initiatives to attract new patients and identify potential marketing opportunities

· Ensure the facility and equipment meet health and safety (OH&S) requirements, are well maintained and the office is clean to present a positive and professional atmosphere

· Work with patients, assisting them with billing, and advising them on insurance and treatment plans

· Handle and maintain x-ray and sterilization requirements by delegating accountability for these tasks to team leads while following up to be sure compliance standards and procedures have been followed

· Ensure all office documentation is kept up to date and maintain patient data according to regulations and company policies

· Ensure end of day procedures are fully completed each day and business is prepared for next day

· Support reception, including greeting and assisting patients, proactively calling patients to schedule appointments, collecting patient information, updating records, organizing, and managing the practice’s schedule, and facilitating insurance payments.

  • Discuss financials and arrange for collection of payment when scheduling appointments for major dentistry
  • Ability to lead effectively, gather staff, and motivate team in a positive and encouraging manner
  • Maintain an organized and accurate filing system. Develop policies to ensure the handling of files, forms and records is managed with confidentiality and responsibility. Provide documentation if requested for government audits or accounting purposes.
  • Coordinate with management to provide the office with necessary equipment such as computers, supplies, maintenance and the rearranging of office space if necessary.
  • Represent the company in a courteous, efficient and friendly manner in all customer and employee interactions to ensure customer satisfaction.

REQUIREMENTS

  • Minimum 5 years experience in the dental field preferred
  • Team focus which will relate to patient focus
  • Maintain composure and clarity during difficult situations

· Previous experience in an administrative/office management role

· Organized with an ability to create realistic schedules and meet tight deadlines

· Diplomatic with excellent interpersonal, conflict resolution, negotiation, and management skills

· High level of integrity, confidentially, and accountability

· Flexibility and ability to pivot to meet changing work needs and demands is essential

· Knowledge of Microsoft Office applications and practice management software is preferred

Ability to Supervise

  • 4-6 people

Wages:

Hourly wage will be discussed at interview and based on experience and knowledge we are seeking.

Job Type: Full-time

Salary: $55,000.00-$85,000.00 per year
