Project Administrator (Part-time) - Kelowna, BC

Infusion Health KVHP (Kelowna Vernon Hospital Project) is the project team responsible for the construction, maintenance and operation of the Kelowna and Vernon Hospital facilities. We are a small team of 3 (General Manager, Operations Manager, and Project Administrator) who work with our service partner Black & McDonald and our client Interior Health to accomplish this.

The Job Opportunity
We are seeking a part-time, 4 days/week (with future potential for full time)highly professional, naturally personable, competent, and experienced Administrator to provide full range general administration, contract, billing and reporting support to Infusion Health KVHP and their parent company BBGI Global Infrastructure. This position will appeal to somebody who is well-organized, process driven, detail oriented, comfortable with routine and who enjoys working as part of a small (but awesome!) team to deliver excellent service.

Essential Functions and Responsibilities

  • Executive Assistance - expense report processing, travel booking, etc.Schedules, coordinates, attends, and minutes various reoccurring meetings.
  • Workflow Administration - review, submission, and tracking of all work order documentation.
  • General Administration & Office Management - Preparation and disseminate reports, managing calendar, office purchasing etc.
  • Financial Administration - assist with annual budget preparation, administrate and track deadlines and payment processes for all invoice processes.
  • Full-cycle Document Control - using existing Aconex by Oracle, a cloud-based document management system and MS Office 365 Sharepoint)
  • Contribute to Environmental, Social, Governance initiatives.
  • Event Planning - schedule and plan occasional small team building, volunteer opportunities and social events throughout the year.

Must-have Qualifications & Skills:

  • Minimum 5 years similar work experience in an administrative role, preferably in a construction/project management environment.
  • Exceptional verbal and written communication skills.
  • Proficient in MS Office 365 (Outlook, Excel, Word, Teams, Sharepoint).
  • High School diploma and completion of some post-secondary business or administration courses, or a combination of education and relevant experience.
  • Work well both independently and in a collaborative team environment.
  • Maintain a high level of professionalism, accuracy, and confidentiality at all times.
  • Natural organizer able to self-manage and prioritize multiple tasks with various deadlines.

Preference will be given if you have:

  • Experience or background in commercial construction, project management, facility maintenance processes and/or terminology.
  • Experience working with Aconex cloud-based software.
  • A strong interest in Environmental, Social and Governance initiatives, especially at the community level.
