Reception/Office Services Assistant

Job description

Our client, an advertising agency downtown requires someone to join their team on a temporary to permanent basis. This role will provide reception and office services support and requires someone who can think on their feet with a sense of urgency. This is a great role for someone that wants to work in a creative environment.



  • Provide reception support including but not limited to answering and directing incoming calls and voicemails, answering, and directing emails from the general inbox, and greeting visitors
  • Collect, sort, distribute incoming and outgoing mail and packages; coordinate with couriers for high priority packages
  • Assist in coordinating and booking meeting rooms
  • Assist in the setup of boardrooms for meetings and ensure general tidiness of meeting areas
  • Oversee the maintenance of office facilities, liaise with property management as needed
  • Maintain general tidiness of kitchen area, including restocking supplies, running, and emptying dishwasher, and organizing dishware & cutlery
  • Maintain office supply levels for kitchen, supply room and site offices
  • Organize and maintain file & storage rooms


  • 1+ years experience as an administrative assistant or office coordinator
  • Excellent tech skills, knowledge of Microsoft Office Suite (Microsoft Word, Excel, PowerPoint & Outlook) a must
  • Excellent verbal and written communication skills
  • Adaptable and willing to learn
  • Willingness to take on new tasks and assignments when required
  • Well-developed time management skills
  • Ability to problem solve effectively
  • Ability to work in a fast-paced work environment
  • Ability to work well independently as well as part of a team

Salary: $18.00 per hour
