The Receptionist shall be responsible for the overall supervision of the office through the effective and reliable of execution of daily tasks. This position requires the full understanding and active participation in fulfilling the needs of our customers and staff. It is expected that the employee demonstrates behavior consistent with the core values and support our strategic plan.

Process All Listings, ensure all paperwork is provided (Follow up pages to manager and agents).

1) Book and confirm all real estate showings (Update all showing instructions into Broker Bay.)

2) Upload listing agreements into Nexone.

3) Forward Waivers, Mutual Releases and any other related document to Manager/Deal Secretary.

4) Collect Deposits & Commission cheques and prepare courier to Head Office.

5) Report - Sold, Conditional, Fell Through into Broker Bay and TRREB MLS.

6) Maintain Front Desk, Support, Training, Procedures and Policies .

7) Order office supplies.

8) Handle Incoming mail and file into appropriate category.

9) Handle Outgoing mail, Arranging Courier for day to day and for agents.

10) Assist Manager and Administrator with Agent Contracts and related documents (i.e. Agent Contracts & related documents to head office, RECO, TRREB, RE/MAX Canada/LLC.

11) Assist Agents and I.T. Services (Internet, drivers, programs etc.).

12) Communicate, Arrange & Set up Meetings, Training Academy & Social Events.

13) Process/Update Agent Profiles on Broker Bay and NexOne.

14) Deal with daily office issues – Internet, Computer, Printer’s down etc.

High School Diploma, G.E.D. or equivalent (College or University Preferred)
Minimum of 2 years real estate office related experience (Mandatory)
Demonstrated competence related to the application of our core values
Comply with all facets of Health & Safety
Demonstrates competence in leadership, communication, professionalism, organizational and analytical skills, and technical/professional skills and knowledge in performance of duties and responsibilities.
Development and maintenance of effective relationships with administrative staff, and the public.
Ability to communicate effectively in writing and verbally.
Ability to remain calm and poised in urgent situations.
Skill in exercising initiative, judgment, problem solving and decision-making.

Salary: Starting at $17.00 /hour
