Job Description

Reporting to the Manager, Application and Support Centre (ASC), Human Services Integration, the Support Assistant B will be part of the administrative team to provide support to the management team. Primary responsibility will be administrative support, report development and project plan updates for the multiple business lines at the ASC.

Major Responsibilities

  • Performs varied administrative tasks involving the preparation, research, summary and reconciliation of data and the control and expedition of documents, data, revenues and cash.
  • Prepares and processes documents/statistical summaries/reports etc.
  • Assesses and analyses data and drafts and signs correspondence.
  • Checks work for accuracy and conformity with regulations, policy and procedures and corrects/resolves outstanding/incorrect items.
  • Identifies issues and recommends solutions. Performs complex calculations.
  • Directs, coordinates, schedules and trains assigned staff also checks/verifies work of assigned staff.
  • Operates office equipment and computers utilizing a variety of software packages, applying speed and skill.
  • Prepares presentation material while utilizing detailed layout and formatting.
  • Co-ordinates and maintains a complex record/retrieval system and maintains supplies inventories.
  • Responds to e-mails, telephone and in-person inquiries from senior staff, the public, agencies and other levels of government utilizing in-depth knowledge of procedures, regulations and criteria.
  • Reviews, accepts or rejects material/applications from the public, ensuring all criteria have been met.
  • Receives and pays out cash and cheques, controls, monitors and balances petty cash, prepares bank deposits, withdrawals, reconciliations and processes/checks financial payments.
  • Assists with budget administration for unit.
  • Co-ordinates meetings, events and schedules and takes/transcribes minutes.

Key Qualifications:

Your application must describe your qualifications as they relate to:

  • Considerable experience performing clerical and administrative duties.
  • Considerable experience using various software packages including Microsoft Office software (i.e., Word, Excel, PowerPoint and Access), SAP, email and the ability to utilize other software packages relevant to supporting the division’s core requirements.
  • Considerable experience creating and formatting large and complex documents, reports, charts, spreadsheets, presentations, contact and document logs and databases.
  • Experience in documenting and updating project plans, to support the management of multiple work flows with a large number of clients.

You must also have:

  • Excellent verbal and written communication skills with the ability to deal effectively with all levels of staff, senior management, councillors and the public in person by telephone and in writing.
  • Excellent organizational, analytical and problem solving skills.
  • Ability to multi-task, assess priorities, work within tight time constraints and meet deadlines.
  • Ability to work both cooperatively within a team and independently.
  • Ability to exercise independent judgement and discretion in dealing with confidential and sensitive information while providing excellent customer service at all times.
  • Ability to apply general statistical techniques and practices, making involved calculations accurately.
